Job Overview:
The Intake Coordinator is responsible for managing the intake process for new clients, ensuring a smooth and efficient transition into the organization’s services. This role involves gathering and verifying client information, coordinating assessments, and communicating with clients and families. The Intake Coordinator reports to the Director of Clinical Services and plays a crucial role in facilitating access to care for new clients.
Key Responsibilities:
- Client Intake Process
- Manage the intake process for new clients, including initial inquiries and assessments.
- Collect and verify all necessary client information and documentation
- Perform eligibility and verification of benefits for all new clients.
- Coordinate and schedule initial assessments and appointments with caregivers and appropriate clinical team.
- Ensure communication and follow through with Center Managers that the treatment schedule has been confirmed and the client was able to start services on the planned start date.
- Communication & Coordination:
- Serve as the primary point of contact for new clients and their families during the intake process.
- Provide clear and accurate information about the organization’s services and the intake process.
- Coordinate with clinical staff to ensure timely service initiation.
- Documentation & Record-Keeping
- Maintain accurate and up-to-date records of all client interactions and documentation.
- Ensure all required paperwork is completed and filed appropriately.
- Input and update client information in the organization’s database.
- Quality Assurance:
- Ensure that the intake process complies with all relevant federal, state, and local regulations.
- Monitor and evaluate the effectiveness of the intake process and implement improvements as needed.
- Conduct follow-up with clients and families to ensure satisfaction with the intake process.
- Support Services:
- Assist clients and families with completing necessary forms and navigating the intake process.
- Provide resources and referrals to clients and families as needed.
- Work closely with the Director of Clinical Services to address any issues or concerns that arise during the intake process.
- Reporting Analysis:
- Prepare regular reports on intake activities and outcomes for the Director of Clinical Services.
- Analyze intake data to identify trends and areas for improvement.
- Contribute to the development of strategies to enhance the intake process.
Required Qualifications:
- Bachelor’s degree in Psychology, Social Work, Healthcare Administration, or a related field.
- Minimum of 2 years of experience in client intake or a related role, preferably within the healthcare or ABA industry.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive and confidential information with discretion.

Pay: $50,000.00 - $60,000.00 per year
