Purpose:This position is responsible for providing support for community and statewide planning, trainings, internal projects, teams and other essential activities within the Michigan Department of Health and Human Services (MDHHS) Division of Local Health Services (LHS), and to assist in program support for the Public Health Administration management team and Michigan’s 45 local health departments. The position also requires proficient skills in Microsoft Office applications, as well as excellent spoken and written communications skills. This position requires the ability to work in a high-volume work environment with multiple staff on various projects with little direction.
- Provide program and administrative support to LHS and its committees and work groups.
- Handle direct mail, telephone calls, and other communications within the Division.
- Attend meetings with LHS staff for the purposes of recording/composing meeting notes and assist division and other bureau administrative support staff with meeting follow-up activities.
- Aid in preparing logistical arrangements for meetings, committees, statewide training preparation and coordination, needs assessments, focus groups, conferences and internal/external activities, and process training registrations for LHS-hosted trainings.
- Procure goods and services required by the Division’s functions.
- Act as a backup to division and other bureau administrative support staff in establishing and maintaining office files, correspondence, statistical information, reports, logs, spreadsheets and other records in connection with the various programs in LHS.
- Act as a backup to division and other bureau administrative support staff to maintain records retention schedules for the LHS, and coordinate document retrieval as needed.
- Operate standard office equipment to prepare, maintain, and distribute documents, presentations, reports, and departmental/state government forms using Microsoft applications and state government applications such as EGrAMS and SIGMA.
- Assist Section staff in the development of LHS and Administration policies and procedures.
- Act as a backup to division and other bureau administrative support in developing and maintaining the official LHS contact lists for administrator, executive, Accreditation Commission, and all other partner organizations.
- Participate in all required meetings and trainings.
- Aid division and other bureau administrative support staff in making travel arrangements; preparing itineraries; preparing, compiling and maintaining travel vouchers and records for LHS Director.
- Maintain and coordinate the schedule and calendar for LHS Director to arrange appointments, meetings, and conferences.
- Always represent the best interests of MDHHS and MPHI.
- Other duties as assigned by the Director of Local Health Services.
Education: A high school diploma or equivalent is required. An associate degree is preferred.
Experience: 2 years of office support experience required.

Work Environment and PhysicalRequirements:No significant physical activities are required in this position other than desk work and the lifting of office equipment and materials of 50 pounds or less. Involves significant computer-related activities such as viewing a cathode ray tube (CRT) or video display terminal (VDT) screen 50%-75% of the time. Standard office environment. Requires valid vehicle operator’s license where needed to perform duties of the position. Frequent deadlines. Local, state and out-of-state travel may be required.
