Position Summary

The Fleet & Safety Director oversees all aspects of fleet operations and workplace safety, combining strategic leadership with hands-on field work. This role is responsible for identifying operational risks, recommending solutions, developing corrective action plans, and ensuring full compliance with all transportation and safety regulations. The Director will lead training programs, investigate incidents, conduct monthly safety meetings, handle accident claims from beginning to end, and manage every aspect of fleet administration, from vehicle registration to DOT compliance.

Key Responsibilities

Risk Management & Safety Leadership

Identify potential risks and hazards through inspections, audits, and data review.
Recommend solutions and create actionable corrective plans to prevent incidents and improve safety performance.
Lead safety meetings, ensuring participation and engagement across departments.
Promote a proactive safety culture where employees take ownership of safe practices.

Compliance & Policy Oversight

Ensure adherence to FMCSA, DOT, OSHA, IFTA, and all applicable federal, state, and local transportation regulations.
Develop, implement, and maintain fleet safety policies, procedures, and compliance documentation.
Maintain complete and accurate Driver Qualification Files.

Training & Development

Conduct new hire orientations and regular safety training for drivers, warehouse staff, operations personnel, merchandisers, and PITO (Powered Industrial Truck Operator) equipment operators.
Provide field-based coaching through ride-along, offering real-time feedback and best-practice reinforcement.
Deliver training in defensive driving, hazard recognition, equipment safety, and company safety protocols.

Fleet Operations Management

Handle all aspects of fleet management, including vehicle acquisition, registration, IFTA reporting, licensing, insurance, and DOT filings.
Oversee vehicle maintenance programs to ensure safety, compliance, and operational readiness.
Verify that all vehicles are equipped with required safety gear, including first aid kits, fire extinguishers, and reflective vests.
Collaborate with vendors and service providers to ensure standards are met.

Incident, Claims & Investigation

Lead investigations of accidents, incidents, and near misses, determining root causes and implementing preventive measures.
Handle accident claims from beginning to end, including documentation, coordination with insurance carriers, follow-up, and resolution.
Ensure all traffic and parking violations are handled appropriately, including coordination with vendors to reduce the cost of the violation.
Liaise with regulatory agencies and ensure all reporting requirements are met.

Monitoring & Reporting

Supervise driver safety using Samsara cameras and other monitoring tools to ensure safe driving practices.
Review driver logs, inspection reports, and incident documentation for accuracy and compliance.
Analyze fleet safety and performance data to identify trends, report to management, and recommend improvements.

Qualifications

Bachelor’s degree in Transportation Management, Occupational Health & Safety, or related field preferred.
Minimum 5 years of experience in fleet and transportation safety management.
Comprehensive knowledge of DOT, FMCSA, OSHA, and IFTA requirements.
Demonstrated success in risk identification, corrective action planning, and compliance management.
Proven experience handling accident claims from start to finish.
Strong leadership, communication, and training skills.
Analytical mindset with the ability to make data-driven decisions.
Valid CDL with a clean driving record.

Ability to travel between Suffolk County, Queens County & Westchester County as needed.
