Job Description:
The Outpatient Referral Medical Assistant is a member of the Medical Management Department and reports directly to the Outpatient Referral Supervisor. Performing a variety of duties both clinical and clerical in nature, this position will maintain a caseload of delegated referrals, and other duties as assigned to fulfill the needs of and maximize the efficiency of the department.
Responsibilities:
- Processes referral orders into referral authorizations, including review of medical records to collate pertinent clinical information forwarded to external Providers and facilities
- Receives and coordinates referrals to include notification of prior authorization and services covered
- Referral communication with multidisciplinary team members, both internal and external, including phone calls (inbound and outbound)
- Referral communication with patients and their families, including phone calls (inbound and outbound)
- Fielding calls and inquiries received from internal/external Providers, patients, or team members regarding the patient’s care or needs, ensuring telephone line is open, answered, voicemails extracted and calls returned
- Maintains referral logging system
- Assist and support the Outpatient Referral Supervisor with department activities including supply ordering, as directed
- Identifies barriers to the referral process, bringing them to the Outpatient Referral Supervisor’s attention, and supporting in problem solving
- Participation in process development, implementation and training
- Proactively participates in creating a healthy and safe work environment

- Supports and adheres to all company personnel policies and procedures, as well as departmental policies and procedures, including strict HIPAA compliance
- Knowledge, understanding and support of the contents of the employee handbook and the CBA
Qualifications:
- High school graduate, some college/college degree, preferred
- CMA certification
- Two+ years of general clerical experience in a healthcare setting
- Two+ years of relevant CMA experience, preferably in an outpatient or managed care setting
- Strong customer service skills
- Strong interpersonal skills
- Strong clinical background
- Ability to organize and maintain numerous assignments
- Excellent verbal, telephone, and written communication skills
- Ability to work independently and as a member of a team
- Must possess a professional, positive, and enthusiastic attitude
- Ability to engage in active listening
- Proficiency with Electronic Medical Record systems
- Knowledge of commonly accepted standards in an ambulatory setting, preferred
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), preferred
- Bi-lingual (English, Spanish/Polish), preferred
