Position Summary:
The Durable Medical Equipment (DME) Device Coordinator is responsible for collaborating with BostonSight team members to achieve accurate device ordering and delivery for patients, ensuring timely and compliant provision of the necessary items. The position works with BostonSight healthcare providers and insurance companies to facilitate this process, which includes insurance verification and documentation. appropriate medical coding, device charges, and collection of patient payments.
Essential Responsibilities:
- Process BostonSight© PROSE (prosthetic replacement of the ocular surface ecosystem) device/lens orders from clinic or patient requests
- Ensure device orders are complete and accurate including the type of order (initial charge or part of treatment) and which eye (left or right)
- Triage calls and emails from patients, the Needham clinic, and the front office. Transfer patient calls and emails as needed to the front office, the triage team, billing, or the quality manager
- Review and update patient demographics
- Update and verify insurance benefits for durable medical equipment (DME) service
- Obtain prior insurance authorization when needed, including medical necessity letters, clinical notes, and request forms
- Present orders to patient’s provider or doctor of the day
- Ensure all waivers, forms, and proof of delivery on qualifying devices are completed and on file relating to device orders
- Enter charges for modified remakes, replacements and spare device orders. Collect payment as necessary or collect information to establish payment plans
- Charge for device orders in the ASP.MD application service provider system. Enter authorizations when required and post self-pay payments on date of service
- Ship using FedEx and USPS certified shipping with signature upon receipt for charged devices and tracking, including miscellaneous packages for office staff. Track packages as needed
- Document all patient interactions in the EHR electronic health records system and in ASP.MD under Quick Note using the proper note type
- Respond to calls and emails by the end of the next business day
- Review all device orders daily in EHR and the FitConnect system for compliance
- Release devices in FitConnect for manufacturing
- Document shipping and tracking in FitConnect Check with clinic and front office staff when device orders do not match visit type
- Perform quarterly audits and maintain records for charged device orders
- Receive and document all PROSE devices received for lab work. Contact patients with any issues
- Work with the Quality Manager to process complaints as per SOP-019 Complaint Handling.
- Collect on past due balances
- Enter modifier descriptions for medical coding when appropriate
Education and Experience:
- Associates degree or equivalent
- At least two years of experience in a healthcare setting; eye care preferred
An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.
