Overview
We are seeking a highly organized and detail-oriented Virtual Assistant to support our team in various administrative tasks. The ideal candidate will possess strong computer skills, excellent communication abilities, and a proactive approach to problem-solving. As a Virtual Assistant, you will play a crucial role in ensuring the smooth operation of our daily activities while providing exceptional customer service.

Duties

Manage and organize schedules, including calendar management for team members
Provide administrative support including data entry, filing, and document preparation
Handle customer inquiries and provide support via phone and email, demonstrating excellent phone etiquette
Assist with bookkeeping tasks using QuickBooks and maintain accurate financial records
Coordinate office management tasks to ensure efficient operations
Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations
Proofread documents for accuracy and clarity before distribution
Maintain confidentiality of sensitive information while managing clerical duties
Support front desk operations by managing multi-line phone systems and greeting clients professionally
Assist with personal assistant duties as needed, ensuring timely completion of tasks

Qualifications

Proven experience in an administrative role or as a Virtual Assistant is preferred
Strong organizational skills with the ability to manage multiple tasks efficiently
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with QuickBooks for bookkeeping purposes is a plus
Excellent typing skills with attention to detail for data entry tasks

Previous experience as a dental or medical receptionist is advantageous but not required
Strong customer service skills with the ability to handle inquiries professionally and courteously
